Employee catering in winter: warm lunch concepts for the office

From November to February demand moves from cold to warm. A soup and stew bar costs 11 to 17 € net per head, bowls with a warm base 13 to 19 €, a curry or chilli station 14 to 21 €, oven dishes and bakes 15 to 23 € and a pasta station 16 to 25 €. The cold team lunch by contrast starts at 9 to 15 € for bowls and boxes. Food is held in chafing dishes at 65 degrees, and after about 2 hours the service ends. A run with delivery at 11:15, service from 12:00 to 13:15 and pick up at 14:00 covers a normal office day. On days with a cold wave 8 to 15 percent of the signed up people are missing, so the order deadline sits 48 hours ahead and the volume at 90 percent of the sign ups. Drinks cost another 2 to 5 € per head.

1. What changes about eating in winter

From November demand in the office tips over. The salad stays put, the soup is empty after 20 minutes. That is not taste, it is the temperature in the room and on the commute. After twenty minutes to the train at 2 degrees, people want something warm at noon.

Hunger arrives earlier. In summer the service runs from 12:30 to 14:00. In winter the first group stands at the table by 11:45. A window from 12:00 to 13:15 covers both groups.

Then attendance. From November to February cold waves run through the teams, and holidays at the year end empty whole weeks. On peak days 8 to 15 percent of the signed up people are missing. How the number of office days moves the price per head shows in our post on employee catering with 2 and 5 office days.

The need per person also rises. Cold bowls fill less well in winter, and a second helping is normal. Count on 10 percent more volume per head than in June.

2. Warm lunch concepts for the office

Five concepts carry the winter in the office. All five can be delivered, held warm and served without a kitchen. They differ in space and price, not in quality.

The soup and stew bar is the simplest option. Two pots, one meat free and one with meat, plus bread and toppings. It needs 2 square metres of space and moves fast. For teams up to 40 people one table is enough.

Bowls with a warm base are the soft switch from the cold lunch. Instead of salad, rice, roast veg or lentils go into the bowl, the topping stays cold. Teams that know it from summer change nothing. The formats in overview show in our post on ideas and formats for the team lunch.

Oven dishes and bakes are the most filling pick. Lasagne, gratin or roast veg come in trays and stay warm for long. They take 2 hours in the chafing dish without suffering. For long meeting days this is the robust route.

A curry or chilli station works with one base and several pots. Rice and bread are fixed, plus two or three sauces. That covers vegan, meat free and meat in one set up. How to tie that to healthy rules shows in our guide to criteria, weekly plan and budget for healthy employee catering.

The pasta station is the priciest of the five. Pasta, two sauces, cheese and a salad beside it. It needs space and one person who refills. In return almost everyone eats it, and leftovers stay rare.

3. What warm concepts cost per head

Warm concepts sit above the cold lunch. The reason is trays, burners, transport in a warm state and the short standing time. For comparison: cold bowls and boxes cost 9 to 15 € net per head, a buffet 12 to 22 € and family style 14 to 24 €.

The soup and stew bar starts at 11 to 17 € per head. Bowls with a warm base sit at 13 to 19 €. A curry or chilli station costs 14 to 21 €, because two or three pots are cooked.

Oven dishes and bakes sit at 15 to 23 € per head. The pasta station costs 16 to 25 €, because pasta must be cooked fresh in batches. Drinks come on top with 2 to 5 € per head.

An example: 60 sign ups, a curry station at 17 € and drinks at 3 € add up to 1,200 € net for one day. With two warm days per week that is 2,400 €. The tax free meal allowance covers up to 7.67 € per working day and person, and the benefit in kind value for a lunch sits at 4.57 € in 2026.

4. The logistics of heat

Serving warm food is a problem of time. Between kitchen and plate sit drive, set up and standing time, and every minute costs quality. A fixed run solves it.

Run of a warm lunch in the office. The holding time stays at about 2 hours.

Figure 2: run of a warm lunch in the office. Delivery at 11:15 with about 20 minutes of set up, holding warm from 11:45 at 65 degrees, service from 12:00 to 13:15, pick up at 14:00. The holding time stays at about 2 hours.

The delivery sits 45 minutes before the service. The driver sets up the chafing dishes, fills water and lights the burners. That takes about 20 minutes for up to 60 people.

Then the food goes into the trays. The kitchen delivers it above 70 degrees, in the chafing dish 65 degrees are held. Below 65 degrees the food turns critical, so a thermometer belongs in every delivery.

The service runs from 12:00 to 13:15. In that time 60 people eat in two waves. After 13:45 the holding time of about 2 hours ends, and the rest leaves the table.

The pick up at 14:00 belongs in the contract. Chafing dishes, burners and trays are on loan, and a second drive costs 40 to 90 € extra. How warm service fits a weekly model shows in our post on models and costs of office catering for hybrid teams.

5. Planning for shifting attendance in winter

In winter the number of eaters is the biggest unknown. Illness, home office in snow and holidays in December all meet. Three rules keep the volume in check.

First rule: order 90 percent of the sign ups. With 60 yes replies that is 54 portions. That hits real attendance better than a full order, because 8 to 15 percent drop out at short notice.

Second rule: set the order deadline 48 hours before the service. Many kitchens still take a change upwards up to 24 hours ahead. Downwards that works less often, so the tight order is the safe side.

Third rule: keep a buffer that need not be warm. 10 sandwiches and a basket of fruit cost 30 € and catch five late comers. That is cheaper than 10 portions of curry that nobody eats.

Leftovers are easier to save in winter than in summer. Soup, curry and stew can be chilled and served the next day. Oven dishes and pasta lose a lot after one night. How many warm days per week make sense is worked out in our post on how much catering per week.

‍

6. Setting up the concept and asking for offers

A concept for the winter stands in three steps. First the days: two warm days per week are the usual start, mostly Tuesday and Thursday. In hybrid teams these two days carry the highest attendance.

Then the format. Soup and stew for a small hunger, oven dish or pasta for a big one. A rotation across four weeks keeps the menu fresh.

Last the enquiry. Six details make every offer comparable: number of people, weekdays, time of the service, budget per head net, address and number of vegan portions. Plus three questions: who provides the chafing dishes, when is the pick up, and until when can the volume be changed.

For a fixed warm lunch you can request fitting office catering for the workplace in one go. Drinks belong in the same enquiry, prices for them sit in our post on costs and concepts of drinks catering for companies.

Conclusion

From November to February demand moves from cold to warm, and attendance shifts more strongly than in summer. Five concepts cover that: soup and stew bar 11 to 17 €, bowls with a warm base 13 to 19 €, curry or chilli station 14 to 21 €, oven dishes and bakes 15 to 23 € and pasta station 16 to 25 € net per head.

The logistics are the second part. Delivery at 11:15, holding warm from 11:45 at 65 degrees, service from 12:00 to 13:15 and pick up at 14:00. An order over 90 percent of the sign ups and an order deadline 48 hours ahead keep the pots full and the leftovers small in January.
