Christmas party for small teams (up to 30): ideas and catering

Up to 30 people one table carries the evening, no programme needed. A menu at the long table costs 70 to 110 € gross per person, family style 55 to 90 €, raclette or fondue 45 to 75 €, a cooking event 90 to 140 € and a restaurant with its own room 65 to 120 €. Fixed costs press harder on small groups. Rent 500 €, travel 90 € and one service person for 180 € add up to 770 €. For 20 guests that is 38.50 € per head, for 100 guests only 7.70 €. A group up to 30 people finds a room 10 weeks ahead, from 100 people it is 26 weeks. The tax free limit for the company event sits at 110 € gross per person.

1. Why small groups follow other rules

A Christmas party for small teams is not a small company event. It is a format of its own. Up to 30 people fit at one table or at two tables side by side. So everyone hears everyone, and the group stays together.

That changes the planning. A stage needs distance and technology. For 20 people it looks empty, and a speech into the mic tips the mood. One sentence said while standing at the table is enough.

A buffet with stations also fits badly. Stations live on the queue spreading out. With 20 guests nobody queues, and the team just walks back and forth. Food at the seat or in the middle of the table keeps everyone seated.

A programme is not needed. In small groups the talk carries the evening. Quiz, band and photo box fill gaps that never open up with 20 people. For groups from 100 people the opposite holds, as our post on the Christmas party for large teams shows.

‍

2. Formats that work for up to 30 people

Five formats carry a small group. They differ in effort and in price, not in quality. All five work without a stage.

The menu at the long table is the classic pick. Three courses, fixed seats, service at the table. The evening has a beat, and nobody has to get up. For 12 to 24 people this is the calmest option.

Family style puts the bowls in the middle. Each guest serves themselves and passes on. That loosens the stiffness of a menu and still keeps everyone seated. How the format runs day to day shows in our overview of ideas and formats for the team lunch.

Raclette or fondue is the cheapest warm format. Each guest cooks at the table, and the evening lasts three hours by itself. It needs power at the seat and one device per four to six guests. For offices with their own kitchen this is the easiest route.

A cooking event turns the food into the programme. The team cooks in groups and eats together after. The price rises, because kitchen, course lead and produce come together. For teams that have just re sorted, the effort pays off.

A restaurant with its own room saves the whole logistics. No set up, no load out, no delivery. The catch is the minimum spend set for the room. How the formats are costed shows in our post on formats and prices for Christmas party catering.

3. What it costs per head

The frame for a Christmas party sits at 40 to 70 € gross per person for basic, 60 to 110 € for standard and 120 to 200 € for premium. Small groups land in the upper part of each level. The reason is fixed costs that spread across few heads.

Raclette or fondue sits at the lower edge with 45 to 75 € per person. Family style follows with 55 to 90 €. A restaurant with its own room costs 65 to 120 €, because rent and service already sit in the price.

The menu at the long table sits at 70 to 110 € per head. A cooking event costs 90 to 140 €, because kitchen and course lead come on top. For 20 people both formats stay under 3,000 € in total.

The tax free limit for the company event sits at 110 € gross per person, for up to two events per year. Menu and cooking event scrape that line. Drinks, travel and decoration count into it.

4. Venue and date for small groups

On the room small groups have the easier stand. A side room for 20 people exists in almost every restaurant. A hall for 200 guests is gone early in Berlin or Munich.

Lead time for the booking. in weeks before the date, by size of the group.

Figure 2: lead time for the booking by size of the group, in weeks. Up to 10 people 6 weeks, 11 to 30 people 10 weeks, 31 to 60 people 16 weeks, 61 to 100 people 20 weeks, over 100 people 26 weeks.

Good venues in big cities are booked out four to six months ahead. That is 16 to 26 weeks, and it hits the large houses. For a group up to 30 people 10 weeks are enough. Up to 10 people a table can still be found 6 weeks ahead.

The ideal window runs from 28 November to 18 December. Thursday and Friday go first. Small groups still get a Tuesday or Wednesday then. Why early access saves money anyway shows in our post on booking the Christmas party early.

Three kinds of room suit small teams: the side room in a restaurant, your own kitchen at the office and the room in a cooking school. All three come with heating, power and toilets. An empty hall brings only work for 20 people.

‍

5. Where small parties still get costly

Four items hit small groups harder than large ones. They rarely show in the first offer. None of the four hangs on guest count.

The minimum order value comes first. Many caterers start at 500 to 1,500 € per delivery. With 20 guests and 30 € of food per head that is 600 €. If the line sits at 1,000 €, the team tops up 400 € without getting more. Benchmarks for this sit in our post on the minimum order value in catering.

The rent for the room is due even for a small group. A side room costs 300 to 600 € for the evening. For 20 people that is 15 to 30 € per head. For 100 people it would be 3 to 6 €.

Service staff come with a minimum count of hours. Four hours at 40 to 55 € per hour are common. One person thus costs 160 to 220 €, even if only two hours are needed. What staff costs in detail shows in our post on the cost of service staff in catering.

Travel comes on top. It sits at a flat 60 to 120 €. A worked example shows the effect: rent 500 €, travel 90 € and one service person for 180 € add up to 770 € of fixed costs.

For 20 guests that is 38.50 € per head. For 100 guests it is 7.70 €. The gap sits at about 31 € per person, before the first dish reaches the table. No discount evens that out.

Extra wishes bite harder in small groups. Decoration for 200 € spreads across 20 heads, which is 10 € per person. A second warm line for three vegan guests triggers a surcharge. Such points belong in the offer upfront.

‍

6. Planning and enquiry

Six details make every enquiry comparable: date, number of guests, format, budget per head, place and end time. Small groups add a seventh: the number of guests with special food. With these lines a caterer answers within two days.

Plus four questions for the provider: height of the minimum order value, number of billed hours per service person, price of the travel and deadline for a free cancellation. Every answer belongs in the offer, not a phone call.

The schedule stays short. 10 weeks ahead the room is set. 6 weeks ahead menu and drinks are set. 2 weeks ahead the firm number of guests goes out.

A full list sits in our checklist for the Christmas party. For the evening itself you can request fitting event catering for company parties in one go.

Conclusion

Small teams need no stage and no programme. Up to 30 people one table and one warm dish carry the evening. Menu at the long table, family style, raclette, cooking event and restaurant with its own room cover every case, at 45 to 140 € gross per person.

On money the line is: the smaller the group, the harder fixed costs press. 770 € for rent, travel and staff are 38.50 € per head with 20 guests and 7.70 € with 100 guests. So minimum order value, minimum hours and travel belong in the first mail to the caterer.

What to watch on the minimum order value?

The height and what counts towards it. Many caterers start at 500 to 1,500 € per delivery. With 20 guests and 30 € per head 600 € come together. Drinks and staff do not always count in, so the question belongs in the enquiry.
